AI answering service for HVAC

An HVAC answering service for the first heat wave, the first freeze and every tune-up in between

HVAC phones can stay quiet for weeks and then ring all day when the first heat wave or cold snap arrives. NuTalk's AI receptionist answers on the hours you set, asks your no-heat and no-cooling questions and books repairs, tune-ups and maintenance-plan visits on your calendar. When a caller's answers match your urgent list, it saves the call with a transcript and summary and gives the caller the emergency number you approved.

The AI asks the questions you write and matches the answers against your urgent list; it does not diagnose equipment, so test borderline descriptions during the trial. Before the busy season, confirm how many calls your package can answer at the same time.

HOW IT WORKSEXAMPLE
01

Write your seasonal scripts

Set the questions for no-heat and no-cooling calls, which answers make a call urgent and what urgent callers hear.

02

Answer, sort and book

The AI asks your questions, books repairs and tune-ups, and flags urgent calls under your rules.

03

Dispatch from the summary

Your dispatcher or on-call tech opens the summary in NuTalk for the address, equipment and symptoms, and can play the recording.

Plan for the surge before the weather turns

HVAC demand follows the forecast. The first hot week of summer and the first hard freeze bring calls from new customers, maintenance-plan members and people who put off a repair. Decide before those days arrive which calls get the next open slot, which ones count as urgent and what callers hear when the schedule is full. NuTalk Unlimited is $499 USD a month for unlimited AI calls and call evaluations on your line, so a busy week doesn't change the plan price; simultaneous-call capacity, phone numbers, carrier usage and hardware are confirmed for your package.

  • Size simultaneous-call capacity for your busiest hour, not an average day.
  • Prepare what callers hear on a full day, such as the next available date.
  • Give maintenance-plan members any priority your plan promises them.
  • Switch the script from cooling to heating questions when the season changes.

/02

No-heat and no-cooling calls, sorted by your script

A house with no heat during a freeze and one bedroom that runs warm are different calls, and your team already knows how to tell them apart. Put those questions in the script. The AI asks them and sorts each call by matching the answers against the list you write; it does not diagnose equipment, so test borderline descriptions during the trial, such as a system that runs but can't keep up. Your approved script can also tell a caller who smells gas to leave the house and call the gas company or 911.

  • Is the system running at all, or blowing air at the wrong temperature?
  • What does the thermostat show, and was it changed recently?
  • Is anyone in the home especially vulnerable to heat or cold?
  • Any warning signs your team wants flagged, such as water around the unit or a tripped breaker.

/03

Tune-ups and maintenance-plan visits

Spring and fall tune-ups fill the calendar ahead of each season, and plan members expect their visits to be easy to book. The AI books tune-ups on your connected calendar and answers plan questions from what you have written, such as what a visit covers and how to join. Before a season starts, an outbound call campaign can reach members and past customers who have agreed to receive automated calls from you. Collecting and recording that consent is up to you, so check the calling rules that apply before you launch.

  • Book cooling tune-ups in spring and heating tune-ups in fall.
  • Answer plan questions: what a visit includes, how often, and how to sign up.
  • Ask whether the caller is a plan member and note it for your team to check.
  • Your team can send the booked time and anything to prepare on WhatsApp from the inbox.

/04

Equipment details, captured before the visit

Techs arrive better prepared when they know what they are walking into. Ask for the system type and, when the customer knows them, the brand and age. For a picture of the unit's data plate or the thermostat screen, the AI can give callers your WhatsApp number, or your team can message them from the NuTalk inbox after the call; the photos they send show up in the inbox.

  • System type: furnace, heat pump, central air, boiler or ductless mini-split.
  • Brand and approximate age, if the customer knows them.
  • A photo of the data plate, the thermostat or an error code, by WhatsApp.
  • Home or business, and who will let the tech in.

/05

Replacement estimates booked for your comfort advisor

Some callers aren't asking for a repair; they want to know whether it's time to replace the system. The AI can book an in-home estimate on the calendar you connect for your comfort advisor and take down the details you ask for, such as how old the system is and what has gone wrong so far. It answers only from what you've written, such as whether estimates are free, and it doesn't recommend repair or replacement or quote an installed price.

  • Give estimate visits their own calendar or event type, separate from repairs.
  • Ask the system's age, recent repairs and which rooms run too hot or too cold.
  • State only the estimate policy you've written down, such as whether the visit is free.
  • Leave recommendations, equipment choices and final prices to your advisor.

When a person should take the call

Some heating and cooling calls belong with a person. A commercial account may have a service agreement that names who answers its calls, a homeowner may want a technician to walk them through a reset before paying for a visit, and some customers expect to be put straight through to the on-call tech, which NuTalk doesn't do. Keep your staff or a staffed service on those calls, and let the AI take tune-ups, bookings and routine questions around them.

  • Commercial service agreements that name who must answer.
  • Customers who want a technician's guidance on the phone before a visit.
  • Homeowners who want to talk through repair or replacement before booking an estimate.

FAQ

Frequently asked questions

Can it tell maintenance-plan members from other callers?

It can ask whether the caller is on your plan and note the answer in the summary for your team to check; it doesn't look members up in your software. It answers plan questions from what you've written, such as what a visit covers and how often, and books plan visits on your connected calendar.

We also do plumbing or electrical work. Can one line handle every trade?

Yes. Each trade gets its own questions and urgent-call rules on the same number, so a no-cooling call and a clogged drain are asked different things. This page covers what is specific to heating and cooling; for plumbing and electrical calls, see NuTalk's answering service for plumbers.

What happens when someone calls at night with no heat?

The AI asks your no-heat questions and matches the answers against your urgent list. When they match, it saves the call with the transcript and summary for your team and gives the caller the next step you approved, such as your emergency number; otherwise it books the next open visit. NuTalk doesn't page your on-call tech by itself: to alert them right away, connect a webhook, Zapier step or API action to the text or paging tool you already use, and test it during the trial. It doesn't diagnose equipment.

Can it book tune-ups and maintenance-plan visits?

Yes. It books, confirms or reschedules on your connected calendar (Cal.com, Google Calendar or NuTalk scheduling) and answers plan questions from the details you provide. Before a season, an outbound call campaign can reach plan members who have agreed to receive automated calls from you; collecting and recording that consent is up to you, so check the calling rules that apply before you launch.

How many calls can it answer at once during a heat wave?

Simultaneous-call capacity depends on your package, so ask for it before the season and size it for your busiest hour. During the trial, place two calls at the same time and check that both are answered.

Can it book estimates for a new system?

Yes. It can book an in-home estimate on the calendar you connect for your comfort advisor (Cal.com, Google Calendar or NuTalk scheduling) and note the system's age and the problems so far. It doesn't recommend repair or replacement or quote an installed price; that conversation stays with your advisor.

Can we switch the script between cooling and heating season?

Yes. You edit the agent's questions, urgent-call rules and business information in the NuTalk dashboard whenever you need to. Before the first hot or cold week, switch the questions to the coming season, update your tune-up details and place a test call to hear the new script.

Can it answer Spanish-speaking customers?

Yes. English and Spanish callers are answered on the same number, with the same questions and rules. Test your no-heat and no-cooling script in both languages before launch.
