What a good business voicemail greeting includes

A greeting has one job: get the caller to leave a message your team can act on. The strongest greetings cover the same few points, in roughly this order, and skip everything else.

  • Who they reached: your business name, plus your own name on a direct line.
  • Why no one answered, in a few words: after hours, on other calls, closed for the holiday.
  • What to leave: name, phone number and the reason for the call, plus anything your team needs to call back prepared, like new or current patient, a property address or a vehicle.
  • When they'll hear back, but only if you can keep that promise.
  • Another way to get help, if you have one: your hours, your website, an urgent number or a colleague.
  • A short close. "Thank you" is enough.

How long a voicemail greeting should be

Aim for 20 to 30 seconds and stay under 35. At a relaxed speaking pace of about 150 words per minute, that is roughly 50 to 75 words. Every extra sentence pushes the beep further away, so cut what the caller doesn't need: long introductions, slogans, lists of services and lines like "your call is important to us." The generator estimates the read time of each option so you can compare them.

  • Brief, under 15 seconds: who they reached and what to leave. Good for a direct line.
  • Standard, 20 to 30 seconds: adds your hours, a callback window or your website.
  • Up to 35 seconds: only when callers need an urgent number or safety information, such as a clinic's 911 instruction.

How to record a greeting that sounds professional

A good script still sounds rushed or muffled if it's recorded badly. Set aside ten minutes and plan on a few takes.

  • Write the script out and read it aloud two or three times before you record.
  • Record in a quiet room with soft surfaces. Turn off fans, music and notifications.
  • Hold the phone a few inches from your mouth and speak at a normal volume.
  • Slow down on your business name, phone numbers and web addresses. Skip "https" and "www" when your site works without them.
  • Smile while you talk. It changes how your voice sounds.
  • Wait a beat after you start recording so the first word isn't cut off.
  • Listen back from another phone, and re-record until it sounds like you on a good day.

Change your greeting when your situation changes

A stale greeting is worse than a generic one. A caller who hears "we're closed for Thanksgiving" in December, or "I'm back Monday" three weeks later, assumes nobody is listening to messages. Record the greetings you need once, then switch between them.

  • Keep separate greetings for business hours and after hours. Many business phone systems can switch them on a schedule, so check whether yours can.
  • Record holiday greetings a day or two before you close, with the date you reopen, and set a reminder to switch back.
  • On a personal line, say when you're back and who can help while you're away.
  • Review every greeting when your hours, staff, phone numbers or website change.

Common voicemail greeting mistakes

Most weak greetings go wrong in the same few ways, and each one is easy to fix.

  • Opening with "You've reached the voicemail of" followed by the phone number the caller just dialed.
  • Long introductions, slogans or service lists before the instructions.
  • Promising a callback time your team can't keep.
  • Background noise, speakerphone echo or a volume that's too low to hear.
  • Out-of-date details: a past holiday, old hours or someone who has left.
  • A full mailbox, so callers who wait for the beep can't leave a message at all.

When voicemail is the wrong tool

Voicemail works when the caller is happy to wait. Many aren't. Someone who wants to book an appointment, check a price or ask a quick question often hangs up at the beep and calls the next business instead, and you never hear about it because no message was left.
