What to include in an appointment reminder

A reminder has two jobs: get the customer to show up, and make it easy to change the appointment when they can't. Everything in the message should serve one of those. Put the details first and keep the rest short.

  • Your business name at the start, so the customer knows who is texting before they open the message.
  • The customer's first name, so it reads like a message to them and not a broadcast.
  • The day, date and time. Writing the weekday next to the date catches mistakes on both sides.
  • Where to go: the address, the suite or entrance, or the video link. For a home visit, the arrival window.
  • One easy way to confirm, reschedule or cancel: a reply keyword, a link or a phone number.
  • Anything the customer must bring or do beforehand, only when it applies to this visit.
  • An opt-out line on at least the first text you send.
  • Nothing sensitive. Leave the reason for a medical visit or the details of a legal matter out of the message.

When to send reminders: 48 hours, 24 hours and same day

More reminders are not always better. For most appointments, a confirmation right after booking plus one or two reminders is enough, timed around how far ahead customers plan and how hard the slot is to refill.

  • Right after booking: a confirmation with the full details. When the appointment is less than a day away, this is the only reminder it needs.
  • 48 hours or more before: for long, expensive or preparation-heavy appointments, such as a consultation, a new-patient visit or a procedure with instructions. It leaves time to reschedule and to fill the slot.
  • 24 hours before: the main reminder for most businesses. If you ask customers to confirm, ask here.
  • A few hours before: a short heads-up for classes, quick services and visits to the customer's home, or an on-my-way text when the technician leaves.
  • Early-morning appointments: send the day-before reminder in the afternoon or early evening rather than at dawn the same day.
  • Once a customer confirms, keep later messages to a simple heads-up instead of asking again.
  • Send during reasonable hours in the customer's time zone, not late at night.

SMS vs. WhatsApp vs. email reminders

Use the channel your customers already read, and don't send the same reminder on all three. Each channel is good at something different.

  • SMS reaches almost any mobile phone without an app, which makes it a good fit for 24-hour and same-day reminders. It's plain text, and providers charge per message segment, so keep it short.
  • WhatsApp handles longer messages, photos, locations and a real back-and-forth, so rescheduling can happen in the same chat. It works well where customers already use it every day, as in Mexico and much of Latin America, and with many Spanish-speaking customers in the US.
  • On the WhatsApp Business Platform, a message you start more than 24 hours after the customer last wrote to you, or to someone who has never written to you, has to use a template approved by Meta. Write reminders with fixed wording and fill-in details, like the ones on this page, so they can be submitted as templates.
  • Email suits the booking confirmation and anything with detail: directions, forms to fill out, policies and a calendar invite. It's easy to miss on the day itself, so pair it with a text or WhatsApp reminder.
  • Let customers pick their channel when they book, and note it on their record.

Text reminder consent and opt-out basics

Appointment reminders are welcome when customers expect them, and unwelcome when they don't. A few habits keep it that way. This is general guidance, not legal advice: rules for business texting differ by country, state and industry, so check what applies to you with your texting provider or a lawyer.

  • Ask first. When the customer books, collect their mobile number and tell them you'll text appointment reminders. A checkbox on the booking form or a spoken question on the phone both work.
  • Keep a record of when and how each customer agreed.
  • Identify your business in every text.
  • Make opting out easy. Honor STOP, and plain replies like "please stop texting me," right away, then send one short message confirming they won't get more texts.
  • Keep reminders about the appointment. Promotions are a different kind of message; don't slip them into a reminder, and check what permission they need before you send them.
  • In the US, your texting provider will probably ask you to register your business and describe the messages you send before you can text from a regular 10-digit number. This is often called A2P 10DLC registration.
  • WhatsApp has its own rules on top of that. Its Business Messaging Policy asks businesses to get a customer's number and their permission before messaging them, so ask for WhatsApp by name when that's where your reminders go.

How to reduce no-shows

Reminders help most when rescheduling is easier than skipping. The rest comes from how you book, how you answer and how you follow up.

  • Put a way to reschedule in every reminder. A customer who can move the appointment in one reply is less likely to just not show up.
  • Ask for a confirmation 24 hours out, and call the customers who don't answer.
  • Keep a waitlist and text it the moment a slot opens.
  • Explain your cancellation policy kindly when the customer books, and mention it once more in the reminder before the visit.
  • Follow up on every no-show the same day with a friendly rebooking message.
  • Book the next visit before the customer leaves, when the appointments repeat.
  • Answer the phone. A customer who calls to reschedule and reaches voicemail may simply not come.
  • Watch for repeat no-shows and handle them with a conversation, not with more automated texts.

What should an appointment reminder text say?

Your business name first, then the customer's name, the date and time, the address or link, and one easy way to confirm, reschedule or cancel. One or two short sentences is enough. How far in advance should you send an appointment reminder?

For most businesses, send a confirmation right after booking and a reminder 24 hours before. Add a reminder 48 hours or more ahead for long, costly or preparation-heavy appointments, and a short same-day message a few hours before for classes, quick services and home visits. If the appointment was booked less than a day ahead, the confirmation is enough.

How long should an appointment reminder text be?

Short enough to read on a lock screen. A single SMS holds 160 standard characters. Longer texts are split into segments of up to 153 characters, and most providers charge per segment. Emoji and some special characters switch the text to an encoding that fits 70 characters in a single message, or 67 per segment when it's split. Should appointment reminders ask customers to confirm?

Yes, if someone will act on the answers. A confirmation tells you who's coming and who needs a new time, and it shows you which customers to call. Accept simple replies such as C, YES or a thumbs-up, understand plain-language answers too, and reply quickly so the customer knows it worked. If no one will read the replies, don't ask; include a reschedule link instead.

Do I need permission to text appointment reminders?

Asking first is the safe habit, and texting providers expect it. Collect the mobile number when the customer books, tell them you'll text appointment reminders, keep a record of their agreement, put your business name in every text and honor STOP right away. Yes, if your customers use it. WhatsApp handles longer messages, photos and a real conversation, which makes rescheduling easier. What should I send after a no-show?

A short, friendly message the same day that assumes something came up and makes rebooking easy with a link or an offer to find a new time. Leave blame and fees out of the first message. If there's no reply, one more message a few days later is enough. Handle repeat no-shows with a phone call or a conversation about your policy, not with more texts.
